Registration of DRD3 institutes in the CERN Greybook:
The criteria for inclusion in the greybook are given here: https://greybook.cern.ch/home/criteria
- For the moment we don't have an MoU and as such the key criteria for registration cannot be fulfilled.
- Nevertheless, it was decided to allow for registration without signed MoU
To get your institute registered, you need to nominate a team leader:
Team Leader Nomination and Responsibilities
Each collaborating institute must have a nominated Team Leader.
- Complete the Team Leader Nomination Form
- Send it to drd.secretariat@cern.ch
- The DRD secretariat will notify you via email when your team leader nomination has been finalised.
- If there are any changes to either the Team Leader or Deputy Team Leader, a new Team Leader Nomination Form must be completed.
Registering Team Members
- Once nominated, the Team Leader is responsible for registering all other team members using the EDH Pre-Registration Form.
- Members should be registered as USER is they plan to collaborate to DRD activities on site at CERN and will visit within the next 6 months (required to sign a CERN user contract).
- Members should be registered as External Participant if they plan to contribute to DRD activities remotely.

Invitation Letters
All invitation letter requests for visa purposes are now submitted via the EDH.
You must meet one of the following conditions to obtain an invitation letter:
- Be registered as an Associated Member of Personnel at CERN (USER, COAS, or VISC) – Request your invitation letter via the EDH Invitation Letter Request.
- Be in the process of registration via the EDH Pre-Registration Form – Request your invitation letter exclusively through the pre-registration form at the time of registration.
Important: Newcomers cannot request an invitation letter without first completing the EDH pre-registration.
This new system covers the following categories:
- Short stays (C visa) and/or Convention d’accueil (Stays of less than 90 days or Multiple-entry visits (up to 90 days within a 6-month period))
- Long stays (D visa) (Stays exceeding 3 months or VLST visas for France (3 months to 1 year))
- Special cases (Family reunification)
